AI Agents in Property Management

Artificial intelligence delivers real value when it adapts to business logic and the way people work. A great example is the project we developed together with INNOVA (Grupo LAE): a document chat designed to improve the daily work of property administrators, which has already processed 3,643,907 documents and serves hundreds of professionals currently onboarding.

The development, integrated into aisQ AGENT, our AI agent platform, allows users to query meeting minutes, budgets, contracts, and agreements for each property community in natural language and get accurate answers in seconds, with no manual searches and without leaving their usual work environment.

The challenge: large volumes of documentation and a critical time dimension

Property management requires handling very large volumes of information, distributed across different repositories and constantly being updated. Adding to this complexity is the challenge posed by the time dimension of the documentation. In this context, a board resolution approved last year does not carry the same weight as the current budget or a special assessment planned for the coming months.

The project also posed a significant technical challenge: scaling the architecture to handle millions of documents, with multiple document sources, continuous synchronization, permission control, incremental indexing, and response times suited to real-world use by hundreds of administrators.

The solution: a document chat integrated into aisQ AGENT

The project developed connects in real time to each community’s repositories (SharePoint, Google Drive, and OneDrive) and places each query in its correct moment in time before performing the search, so that the response incorporates the precise information and temporal context.

Because it is integrated into aisQ AGENT, the development is built on LISDATA’s own technology, allowing each component to be adapted to the particularities of the sector and the real-world operations of its users.

The results

The project is already delivering tangible results for the day-to-day work of property administrators:

• Instant access to meeting minutes, budgets, contracts, and agreements.
• Automatic synchronization from multiple document sources.
• Precise temporal context in every response.
• Hundreds of administrators currently onboarding, with a growing user base.
